You will assist the CEO and Management Team as well as the supervisory board with all administrative, organizational and operational matters. For our international client, head office in Amsterdam, we are searching for an Executive Assistant. You will assist the CEO and Management Team as well as the supervisory board with all administrative, organizational and operational matters. This role requires a highly organized and flexible attitude to switch easily between different tasks and priorities.

Key Responsibilities
Manage meetings
Preparing the agenda, supporting files and minutes of management team meetings, Board meetings, general meetings, etc. Example: Coordinate logistics of the meeting, compose the agenda in close cooperation with the involved stakeholders, including preparation of presentations and files, and monitor follow up on action points.

Archiving and filling
Ensuring archiving and filing of relevant documents (e.g. presentations, minutes, action points etc.) Example: Publish relevant documents and filter written and oral communication.

Assist management team
Managing calendars of management team, acting as a point of contact for internal and external parties and independent handling of e-mail and correspondence. Example: plan meetings and make travel arrangements for management team.

Assist Supervisory Board
Support the Board chair in planning Board meetings, produce meeting minutes and follow up action items. If needed help coordinate travel and logistics. Example: plan meetings rooms, prepare Board materials.

Coordinate management team communication
Coordinating management team communication in close alignment with Corporate communication specialist. Example: Prepare documents (e.g. presentations, posters, e-mails) for internal communications.

Key interactions
Key internal collaboration partner(s)

  • Assists management team in their day-to-day work
  • Acts as a point of contact for MT towards all internal stakeholders.
  • Works closely together with the Corporate communications specialist to coordinate internal communications by CEO/MT

Key external collaboration partner

  • Acts as a point of contact towards all relevant external stakeholders

Qualification and competencies

  • Required level of education
  • Pre-university degree, secretarial degree or bachelor’s degree
  • Several years of experience in a similar position, preferable complex organizations
  • Excellent fluency in written and spoken Dutch and English
  • Excellent knowledge of MS Office
  • Preferable used to working on Mac
  • Proven experience in taking minutes
  • Has a representative attitude
  • Is stress resistant and flexible
  • Is discrete and sensitive to confidential matters
  • Excellent communicative and organizational skills
  • Proactive and strong personality
  • Used to an international environment, respecting different culture

Measures of success

  • Quality of executive support (plan actions on time, in full)
  • Quality of documents (meeting minutes etc.
